Refund & Cancellation Policy
Please be sure to read the details of our policy for refunds in the event of the cancellation of an event by Vanessa White trading as Heartfeltways or the withdrawal from an event.
Your booking a place will be taken to show that you accept the conditions of this refund policy.
Cancellation by Vanessa White (Heartfelt Ways):
If we find it necessary to cancel any of our activities such as a class, workshop or session, participants will be notified immediately if I have your details. If an activity must be cancelled completely, Vanessa White will give participants the opportunity of a full refund or will transfer their payment to another activity of equal value available at Heartfeltways on the grounds that there are still spaces available.
If unplanned or unforeseen circumstances prompt a singular session of a multi-week activity to be cancelled, Vanessa White will contact all participants immediately, informing them of an alternative date to make up the total number of sessions. Alternatively, the offer of a refund for the singular session cost will be available.
Vanessa White will refund the participant(s) within three weeks of the activity/ session cancellation date.
Cancellation by You:
The following rules apply should a participant wish to withdraw from an event;
• Requests for withdrawals and refunds must be received in writing, preferably by email
to Vanessa@heartfeltways.co.uk or the contact form that is available on the website.
• If you withdraw from an event more than 14 days in advance of the course starting
you will receive a refund, minus 20% of the full event fee and £5.00 admin fee (detailed below).
• If you withdraw from the event more than 7 days in advance of it starting you will receive a refund, minus 50% of the full course fee and £5.00 admin fee (detailed below).
• If you withdraw from your event less than 7 days in advance of the event starting
or once the event has started you will not be eligible for a refund of any kind, unless
this is due to an event being proved to have been mis-sold by Vanessa White or to
service failure.
Please note there is an administration fee of £5 payable in respect of any refunds made to cover transaction and administration costs incurred.
Vanessa will consider the circumstances with fair and reasonable consideration.
Absence:
If you are unable to attend for any reason, then Vanessa White must be informed immediately.
We regret that we are unable to offer refunds under any other circumstances i.e., absence due to medical conditions, changes to work commitments, bereavements, or other reasons for not being able to attend the event as a part or a whole. In addition, it is not possible to make up missed classes and get a refund or a credit for them. As a sole trader I have to ensure that sessions are viable to run both from a cost perspective and also for participant enjoyment.

information and activity content. We advise all clients and interested parties to regularly check the website and social media platforms for any updates, to prevent any inconvenience or disappointment.
Changes and Cancellations:
We aim to deliver all activities as advertised. However, activities may be cancelled, or
changed, if enrolments are too low or in the event of unforeseen circumstances.
Session dates and times may be provisional and subject to change.
